How to Be Successful When You Can’t Plan Ahead

I was talking with a friend recently who took a voluntary lay-off to go to a new position at a start-up company. When the hiring executive at the new company went to his boss to make the hire, however, he was told he couldn’t bring my friend on full-time. By then his old position had already been reassigned, and if he were hired back, it would mean several other people would lose their jobs. In a matter of a day, he went from a planned, orderly transition into a new job to being without a job as the sole provider for the family.

At some point, everyone faces challenging situations where what we thought would develop or happen doesn’t. Some people fall apart. Others deal with the curves thrown their way seamlessly, functioning as if nothing out of the ordinary has happened.

Dealing with these moments productively, as my friend appears to be doing, depends on quickly figuring out your new reality and stepping through a process allowing you to focus and implement successfully. These fifteen steps will help you do that more effectively when the world around you appears to be crumbling:

  • Define (or redefine) what you’re trying to accomplish. Figure out if your original goal is still valid or needs to change to reflect the new situation you’re facing. Once you’ve decided, make sure your team knows what the goal looks like right now.
  • Identify critical priorities that can’t be compromised. Some things may be more important than others. Maybe it’s a timeline that absolutely can’t be moved; at the same time, some deliverables you expected to accomplish by the deadline may now have to be jettisoned from your plan. Make these determinations right away.
  • Figure out what fundamentals still hold. Although your situation has changed, it’s likely some things you’ve come to depend on are unchanged. Make a quick check of what you DO know and can depend on in your now unfamiliar situation.
  • Quickly secure access to critical information flows. If you need to move forward before everything is sorted out, devote some mental resources to soliciting multiples inputs about the situation – from those on your team, from listening to and observing other participants, from previous information sources (realizing they may now be compromised), and from anywhere else you can.
  • Stay mentally active and engaged. There can be a tendency to shut down in uncertain situations. Don’t let yourself become indecisive, especially if you’re trying to process new data sources. Instead, rapidly assess the information’s viability, add it to your knowledge base as appropriate, and keep moving.
  • Imagine the range of relevant possibilities that may unfold. Develop likely scenarios and their implications. Even with what may feel like extreme uncertainty, also look for common elements among the possibilities. Figure out actions you can take that make sense irrespective of which scenario plays out.
  • Develop mini-plans. With the potential scenarios, figure out what you can reasonably prepare for, just in case. Use mini-plans – checklists which contain two or three steps – to plot your potential courses of action. With a series of mini-plans, your timeline from start to finish is short (which is fitting in an unfamiliar situation), and as variables change, you can choose from among the most appropriate mini-plans.
  • Inventory available resources. Identify what’s at your disposal to advance your situation. The inventory should include the relevant talents and experiences of you and those on your team plus other physical and intangible resources you have. Identify redundancies, gaps, and superfluous resources in the inventory.
  • Take action on your resource inventory. Shed any dead weight among your resources which won’t be necessary and could slow you down. At the same time, secure the very basic resources which allow you to function in as many scenarios as possible.
  • Increase your ability to maneuver. Beyond shedding resources for flexibility, prioritize early decisions and actions which keep the greatest number of current options. Flexibility is valuable, so hang on to as much of it as you can for as long as you can without compromising achieving your objectives.
  • Secure resources to operate in the most likely scenarios. You may not be able to get all the support you need to fill your gaps. Because of this, prioritize resources which will work across multiple scenarios, even if they might not be exactly the best fit. It’s about the greatest flexibility and impact from the fewest resources possible.
  • Accept acting amid uncertainty. This is easier for some people than others, but you need to become comfortable right away with not being able to figure things out ahead of time. If you don’t have time on your side, you’ll have to advance with incomplete information and be open to adapting as you go.
  • Be open to spontaneity and depending on your instincts. You’re facing a different situation, so the standard tools and tricks you’ve used may be much less effective. As a result, open yourself up to solutions which you wouldn’t have previously considered. Instincts can become even more important in dictating what your next move should be.
  • Share information with those on your team. It takes information to co-participate successfully. If you’re moving ahead with mini-plans and a higher degree of spontaneity, it’s important to provide cues and information to your team so they can move with you.
  • Gauge your progress, adapt, and keep going. By using mini-plans, you’re never more than a couple of steps away from reaching an interim objective where you can gauge progress and adjust for the next mini-plan. Make sure as you do this you’re seeking input from your team and monitoring the environment around you to see what others are doing.

While these steps are presented separately, the activities may all have to take place in a few moments, some in a split second. That’s why it pays to practice by putting yourself in unfamiliar situations to develop your skills. Then if you have to divert from your original plan and wing it, you’re in a better position to go forth creatively and boldly. I’m not sure having to innovate on the spot in important situations gets any less nerve racking, but with these steps, you can better flex and still strategically deliver results no matter what gets thrown at you personally or professionally.

20 Quick Tips For Better Time Management

Are you usually punctual or late? Do you finish things within the time you stipulate? Do you hand in your reports/work on time? Are you able to accomplish what you want to do before deadlines? Are you a good time manager?

If your answer is “no” to any of the questions above, that means you’re not managing your time as well as you want. Here are 20 tips on how to be a better time manager:

  1. Create a daily plan. Plan your day before it unfolds. Do it in the morning or even better, the night before you sleep. The plan gives you a good overview of how the day will pan out. That way, you don’t get caught off guard. Your job for the day is to stick to the plan as best as possible.
  2. Peg a time limit to each task. Be clear that you need to finish X task by 10am, Y task by 3pm, and Z item by 5:30pm. This prevents your work from dragging on and eating into time reserved for other activities.
  3. Use a calendar. Having a calendar is the most fundamental step to managing your daily activities. If you use outlook or lotus notes, calendar come as part of your mailing software. Google Calendar is great – I use it. It’s even better if you can sync it to your mobile phone and other hardwares you use – that way, you can access your schedule no matter where you are.
  4. Use an organizer. The organizer helps you to be on top of everything in your life. It’s your central tool to organize information, to-do lists, projects, and other miscellaneous items.
  5. Know your deadlines. When do you need to finish your tasks? Mark the deadlines out clearly in your calendar and organizer so you know when you need to finish them.
  6. Learn to say “No”. Don’t take on more than you can handle. For the distractions that come in when you’re doing other things, give a firm no. Or defer it to a later period.
  7. Target to be early. When you target to be on time, you’ll either be on time or late. Most of the times you’ll be late. However, if you target to be early, you’ll most likely be on time. For appointments, strive to be early. For your deadlines, submit them earlier than required.
  8. Time box your activities. This means restricting your work to X amount of time. Read more about time boxing: #5 of 13 Strategies To Jumpstart Your Productivity.
  9. Have a clock visibly placed before you. Sometimes we are so engrossed in our work that we lose track of time. Having a huge clock in front of you will keep you aware of the time at the moment.
  10. Set reminders 15 minutes before. Most calendars have a reminder function. If you’ve an important meeting to attend, set that alarm 15 minutes before.
  11. Focus. Are you multi-tasking so much that you’re just not getting anything done? If so, focus on just one key task at one time. Close off all the applications you aren’t using. Close off the tabs in your browser that are taking away your attention. Focus solely on what you’re doing. You’ll be more efficient that way.
  12. Block out distractions. What’s distracting you in your work? Instant messages? Phone ringing? Text messages popping in? I hardly ever use chat nowadays. The only times when I log on is when I’m not intending to do any work. Otherwise it gets very distracting. When I’m doing important work, I also switch off my phone. Calls during this time are recorded and I contact them afterward if it’s something important. This helps me concentrate better.
  13. Track your time spent. Egg Timer is a simple online countdown timer. You key in the amount of time you want it to track (example: “30 minutes”, “1 hour”) and it’ll count down in the background. When the time is up,the timer will beep. Great way to be aware of your time spent.
  14. Don’t fuss about unimportant details You’re never get everything done in exactly the way you want. Trying to do so is being ineffective. Read more: Why Being A Perfectionist May Not Be So Perfect.
  15. Prioritize. Since you can’t do everything, learn to prioritize the important and let go of the rest. Apply the 80/20 principle which is a key principle in prioritization. Read more about 80/20 in #6 of 13 Strategies To Jumpstart Your Productivity.
  16. Delegate. If there are things that can be better done by others or things that are not so important, consider delegating. This takes a load off and you can focus on the important tasks.
  17. Batch similar tasks together. For related work, batch them together. For example, my work can be categorized into these core groups: (1) writing (articles, my upcoming book) (2) coaching (3) workshop development (4) business development (5) administrative. I batch all the related tasks together so there’s synergy. If I need to make calls, I allocate a time slot to make all my calls. It really streamlines the process.
  18. Eliminate your time wasters. What takes your time away your work? Facebook? Twitter? Email checking? Stop checking them so often. One thing you can do is make it hard to check them – remove them from your browser quick links / bookmarks and stuff them in a hard to access bookmarks folder. Replace your browser bookmarks with important work-related sites. While you’ll still check FB/Twitter no doubt, you’ll find it’s a lower frequency than before.
  19. Cut off when you need to. #1 reason why things overrun is because you don’t cut off when you have to. Don’t be afraid to intercept in meetings or draw a line to cut-off. Otherwise, there’s never going to be an end and you’ll just eat into the time for later.
  20. Leave buffer time in-between. Don’t pack everything closely together. Leave a 5-10 minute buffer time in between each tasks. This helps you wrap up the previous task and start off on the next one.

8 Ways To Bring Your Creative Passions to Work

A “creative” person I worked with at a “trucking company” developed a reputation as frustrated  and bitter over her 30-year career. At her retirement, I inquired about her plans, particularly since she was relatively young. Asking if she hoped to create more art since she was now freed from cranking out corporate brochures, she told me, “No.” Instead, she was going to work at a garden center, since she loved plants and being outdoors.

While her answer was startling, the next time I saw her confirmed the impact this life change made. She was barely recognizable! Her long white hair was cut short and stylishly, she was tanned, and had a huge smile you couldn’t wipe off her face.  All this, a result of finally expressing her creativity as she truly enjoyed.

Makes you wonder why, if your creative passions involved the outdoors and plants, you’d sit in a cube for 30 years working on sales collateral while your bitterness festered? Maybe she felt stuck because she didn’t think a garden center job would pay enough. Yet surely, there were other alternatives.

Many people find themselves in similar situations. You have creative pursuits you enjoy OUTSIDE work, but can’t imagine incorporating them into your day job to make it more enjoyable. If you feel that’s your situation, it doesn’t have to be. Using my “graphic artist in a decidedly non-creative trucking company friend” (let’s call her Betty) as an example, here are 8 ways to incorporate your creative passions into your job:

1. Don’t complain about your situation. Start figuring out how to adapt it.

Betty was all about complaining, which stopped people from wanting to work with her in new, creative ways. Instead of griping, invest your energy in thinking strategically about how you could adapt your work to be more creative. What co-workers, customers, situations, projects, programs, products, and critical business needs might be waiting to incorporate the creative skills you’re truly passionate about using?

2. Map out how your interests could tie to your job.

Step back to generalize and innovate on how your creative passion could connect to your current company’s business. This will start creating potential hooks you can use to attach your passion to your job. In Betty’s case, working with plants at a garden center could be generalized to cultivating and growing things, design, customer interaction, outdoor settings, etc. Once you’ve moved from “working in a garden center” to “what happens at a garden center,” you have the seeds (pun intended) to plant in your regular job for new sources of creativity to spring up.

3. Do some thinking on your own to imagine hidden opportunities.

After thinking about your outside passion, consider your company and where it might need the same talents, experiences, and results related to your creativity. In the trucking company example, Betty’s list could have included: landscaping around our headquarters, design and planning for field facilities, plants in offices and common areas inside our building, sprucing up corporate meetings and conferences, and employees’ club fund raising projects and events. Any of these (and more) could easily have components tied to gardening and design.

4. Put your interests into the language of business.

When trying to introduce creativity, you’ll hit brick walls if you talk in the language of your creative passion. If Betty walked in and announced, “I want to work with flowers here at the trucking company,” her ideas would have been dead on arrival. Instead, consider the language you can use to express your interests. Betty could have used vocabulary related to events and facilities to initiate conversations.

5. Find like minded people.

Ask others about their outside creative interests: “What do you like to do for fun? How do you express yourself creatively?” If the company is of any size and your creative interests are anywhere near the mainstream, you’ll likely discover others who share your passions. Learn what ideas they may have and how they react to your possibilities for bringing your creativity more squarely into the workplace.

6. Volunteer for smart opportunities even if they’re out of the spotlight.

Start expending energy to insert yourself into smart opportunities you’ve identified. In Betty’s case, the first stop should have been the company employees’ club since it offered opportunities to help plan a summer get together (being outdoors), coordinate a holiday party (floral design and decoration), sponsor fund raisers (a plant sale), and at one time, send floral arrangements to hospitalized employees (direct interaction w/ florists). While Betty’s is a specific instance, the same concept applies for you. Map out and implement the plan to seize opportunities (even if they’re small ones) and increase your workplace creativity.

7. Begin doing even more.

Once you start to get a reputation for contributing successfully in innovative ways, the word will spread, and new opportunities will surface. In our company, we ultimately started sponsoring major events for hundreds of customers – both meetings and NASCAR events. New and enhanced creative approaches were always desirable and could certainly have included floral design as an element. Since no one wanted to work with Betty, however, she was never asked to participate. Being able to realize those first small successes, however, can lead to new opportunities to do even more creatively.

8. If it’s not working, don’t stick around and be miserable.

Betty chose to stay 30 years making herself and those around her miserable. If you try this approach, and for whatever reasons it doesn’t work in your particular company, look for another job rather than fuming. In a similar situation, our neighbor was a nurse who also wanted to work at a garden center. One day, she quit her nursing job and made the switch. The garden center only paid about 1/3 of what nursing did, so after a few years of blissful work at a garden center, she went back into another area of nursing. Not only does she have the memories to sustain her, she still works part-time at the garden place, keeps in touch with friends she made, and always knows she can make the switch again in the future. She’s happy, not miserable, realizing she has options.

I used these tips in the same not particularly creative company as Betty to uncover ways to introduce my love for art, music, and speaking into my job to make it much more fulfilling. While it wasn’t always exactly how I wanted things to be, it was so much better than never being able to exercise my creative passions. 6 Proven Ways To Make New Habits Stick

Not long ago, my daily life was in really bad shape. I was sleeping anywhere between 3am to 6am on average, and on the really bad days I wouldn’t sleep at all. Because I slept late, I would wake up late. Subsequently, my day would start off late, which meant I was busy “playing catch-up” and being late for my appointments. My diet was horrendous – I was eating lots of junk food and snacks at night to stay awake. It got worse month after month, and I didn’t want to continue on. I needed to revamp my lifestyle!

I picked out 9 habits I wanted to cultivate for the next 21 days, such as: (1) Sleeping at/before 12am, (2) Waking up at 5am, (3) Reading a book or listening to a podcast at least once a day, (4) Meditating, (5) Being timely for my appointments (6) Even eating a raw food diet! #6 might be a bit of an overkill for some people, but hey – since it was just for 21 days, I thought I might as well try something different for a change.

I’m extremely happy to report that nearly all my habits have stuck. My life has become significantly organized. I wake up early, I get to all my appointments early/on time, I get my work done, I meditate, I’m eating raw, and I sleep on time. Out of the 9 habits, 8 habits stuck, while 1 habit was let go because I realized it wasn’t something I wanted to work on for now. Compared to my previous lifestyle, this has been a total 180 degree turnaround.

Some people might think this positive change is exclusive to me, that perhaps I have some incredible determination, persistence or discipline to pull this off. I don’t want to disappoint, but it’s not. In fact, truth be told, I consider myself a very undisciplined person. What I do have though, are 6 specific tips that have been critical in enabling my lifestyle change. These have helped my new habits stick.

If you have been trying to cultivate new habits with little success, then you might find these very useful. These habits are not rocket science – they are easy to understand, apply and have worked tremendously for me.

Here they are:

1. Know the Real Reason Why Your Habit Didn’t Stick Previously

Address the root cause of the issue, not the effect. Desperately battling with yourself every morning to wake up at 5:30am is to address the effect. Understanding why you keep failing to wake up at 5:30am is to address the cause.

For example, I couldn’t wake up early for the longest time ever, and all I kept doing is to keep trying and failing the next day. This would continue on for several months until I finally realized it was just going nowhere. I began to start analyzing my situation to understand why I couldn’t wake up early, through a self-questioning process. I probed into the situation, and asked myself “why” this was happening to drill down to the root cause.

Below is an example of the drilling process:

  • Why can’t I wake up early?
    • Because I’m tired.
  • Why am I tired?
    • Because I didn’t have enough sleep.
  • Why didn’t I have enough sleep?
    • Because I slept late.
  • Why did I sleep late?
    • Because I had too many things to do.
  • Why did I have so many things to do?
    • Because I can’t finish them.
  • Why can’t I finish them?
    • Because I schedule more tasks than I can accomplish for the day.

Getting down to this root cause helped me realize two things (1) All our habits are tied to one another (sleeping time, waking time, timeliness) (2) I underestimate the time taken to finish the tasks (and subsequently overestimate how fast I can do those tasks). Many times, I would target to finish multiple projects in 1 day, which wasn’t possible at all.

This meant that to make my waking early habit stick, (1) I need to change habits that are related to waking early (see Tip #2) and (2) I have to be more realistic in my planning. Rather than stuff in so many tasks for a day and not finishing them, now I go for a challenging yet achievable schedule and complete my tasks accordingly.

Keep asking why to drill down to the root reason. Once you get to the real cause, you can immediately resolve the issue.

2. Pick Habits that Reinforce Each Other

Our habits are not standalone; they are interlinked. Some habits have a stronger linkage with each other than others. For example, sleeping early and waking early are obviously linked to each other, while sleeping early and reading a book a day might not be so closely related. If you want to cultivate a habit, identify the other habits that are tied with it and make a holistic change. These habits will reinforce each other to help make the change seamless.

For example, my new habits to: (a) Wake up early at 5am (b) Sleep before 12am (c) Be on time (d) Meditate (e) Have raw food diet are all interlinked.

  • Waking up early means I more time to do my tasks, which helps me to sleep earlier in the night. This helps me to wake up early the next day.
  • Being on time helps me to get my tasks completed on time, which helps me adhere to the day’s schedule. This means my sleeping time and subsequently my waking time does not get affected.
  • Meditating clears out mental clutter and reduces the amount of sleep I need. Usually I sleep about pro6-10 hours, but on the nights I meditate, I require about 5-6 hours.
  • Switching to a raw vegan diet has helped to increase my mental clarity, which meant I don’t need to sleep as much as before. I’m not saying that you need to go raw vegan just to cultivate a habit of sleeping/waking early, just that I noticed this particular benefit when I switched to this diet. You can sleep and wake up early perfectly fine by changing other habits.

3. Plan For Your Habits (Right down to the timings)

Having a schedule lets you know when you are on or off track for your habits. For the 1st day of my new lifestyle, I did a full-day planning and continued thereafter for all other days.

What I do is this:

  1. On the night before, put together a list all the tasks I need to get done for the next day. This includes what’s on my calendar (I use Gcal).
  2. Batch them into (a) Major projects, (b) Medium sized tasks and (c) Small, administrative activities
  3. Slot them into my schedule for the day. Major projects would have most amount of time assigned. The principle I usually go by is 60-30-10 (% time spent) for a-b-c groups respectively.
  4. Be aware of how much time each task requires. If it helps, most of the time we underestimate the time we need. Make it a realistic yet challenging time to work towards. Usually I assign a 5-10 minutes buffer time in between tasks to account for the transition from 1 task to the next.
  5. Assign exact timings for when each task starts and ends. For example, 9am to 10:30am for Project A, 12:30-1:30pm for lunch, 6:30-7:30pm for commute.
  6. If there are more tasks to be done than my schedule allows, I’ll deprioritize the unimportant ones and put them off to another day.

With all this planning done, when the next day comes all I have to do is to follow the schedule to a tee. I keep a close watch on the timing to ensure I’m on time. 5 minutes before it’s up, I do a wrap up and start transiting to the next task on the list.

The beauty of having a precise schedule is it helps me know exactly when I’m taking more time than desired, and this helps me work on being more efficient. There are some timings which absolutely have to be protected, such as my sleeping/waking times and appointment times, so in that sense the time allocated on my tasks are fixed. That means I have to work more efficiently.

It may seem like a hassle, but it really isn’t. It just takes me about 10 minutes to get each day’s schedule done. Not surprisingly, I have allocate time in my daily schedule to do my scheduling for the next day (11-11:10pm). All you have to do is create a template once, and then you can reapply this template for the other days. There will be similar items across all out days that can be reapplied, such as waking/breakfast/commuting/working/dinner/sleeping times, so it’s really very straight forward.

If you don’t plan for when exactly to get the habit done and instead just arbitrarily say that you want it to be done sometime today, then there’s a very high chance it might not get done. This is why most people’s habits don’t stick. Other things will invariably keep popping in and you’d engage them without realizing it and throw your schedule off track. From there, other things get pushed back and you never get to carry out your habit.

4. Stay Ahead of Your Schedule

I found it’s extremely motivating to stay ahead. Waking up early at 5am means I’m ahead of most people in the world (and myself too, if I were to stick to my old schedule), and that motivates me to work fast and stay ahead. What helps me continue this momentum is that I end my tasks earlier and start the next task before the scheduled timing. By ensuring I stay ahead of my schedule, I’m naturally motivated to work on all the things I have planned, including my habits. There’s no resistance to get them started at all.

If a task is taking more time than needed, then I make a choice. Either I:

  1. Hurry up and get it done
  2. Deprioritize the unnecessary or
  3. Borrow time out for my later tasks to continue working on the current one. This also means I have to work faster for the remainder of the day.

This decision-making process is important, because otherwise you will end up playing catch-up for the rest of the day, which affects all your planned habits/activities. Subsequently, it also affects your will to maintain your habits. Stay ahead of your schedule and you will find it easier to stay motivated.

5. Track Your Habits

Tracking keeps you accountable to your habits. I have a whiteboard in my bedroom which I use to track my habits. On the whiteboard, I drew a large table, split by days (21 days to cultivate a new habit) and by habits. For the days where I do the habit, I will give it a check. For the days I don’t, I make a cross. It’s very satisfying to do the checks every time you finish a habit! You can also track your habits on paper or in your computer.

Here are some great habit trackers online:

  • HabitForge – Tracks new habits through a 21-day period. If you miss the habit for 1 day, it’ll restart.
  • Rootein – Unlike Habit Forge, this is an ongoing habit tracker. There is also a mobile version for you to track your habits on the go.
  • Joe’s Goals – Same as Rootein. There’s an option to place multiple checks on the same goal for extra-productive days.

6. Engage People Around You

Engagement can occur on 2 levels – (a) Active engagement, where you inform your friends who might be interested in and cultivate the habit together with them or (b) Passive engagement, where you let others know about your plans and having them morally support you.

I had both forms of support in my habit change. 2 days before I started my lifestyle revamp program, I posted an article on my blog, The Personal Excellence Blog, on the new 21-day Lifestyle Revamp Program I was taking on. I wrote in detail about the rationale behind the program, the benefits, the habits I was taking on and how I was going to achieve my goals. I also invited them to join me too in cultivating new habits. Much to my pleasant surprise, many readers responded in enthusiasm on new habits they wanted to cultivate and joined me in the 21-days of change.

For my raw food diet, I told my mom that I’m just eating fruits and salads for the next 3 weeks, and she began to stock up the house with fruits like bananas, grapes and strawberries. In fact, I just finished a box of strawberries from typing this post. Yesterday, I went to watch How To Train A Dragon with my friend, and filled him in on my raw food diet. He then kept a look out for the restaurants we could dine in for that night. In the end I had warm baby spinach salad for dinner. My first time having it – can’t say I like it, but it’s nice for a change :D.

Don’t feel that you’re alone in your habit change because you aren’t. There are always people around you who are more than willing to support you.

Final Words

My new habits have pretty much been integrated into my daily life now. Everything runs on auto-pilot and it feels like I’ve been doing this for a long while. My personal tips above have worked tremendously for myself, so while they may look simple and straightforward, don’t underestimate them. 5 Steps To Conquer Any Networking Event

Let’s say you’re single, lonely, and desperate for a date. That, of course, isn’t actually the case so you’ll need to use your imagination for a moment. Now imagine that you’ve been invited on a group date with the promise that you’ll definitely hit it off with someone special. The organizer isn’t really sure about that but a match seems likely because more than 500 single, lonely, and fairly desperate people will also be on the group date. It sounds like a sure thing, right?

Wrong.

When faced with so much opportunity, your first instinct will be to hunker down with a few friendly faces and wait for the end of the evening. Instead of making something amazing happen, you’ll take the safe route. Unfortunately, the safe route often means you go home alone with a story about the one that got away.

Unfortunately, most conferences and networking events end just like that. Now what if I told you there was a different way? What if I told you that, continuing the group date example, I could show you how to do background checks on all the attendees and see what they look like in the buff before ever stepping into the same room? You’d be interested, of course!

While I won’t tell you how to find compromising photos of everyone attending your next networking event, I’ll give you something just as valuable. Here are five steps you can implement and build upon to make the most of your next networking event:

1. Establish Event-Specific Goals

Walking into a networking event or conference without a plan is, barring a miracle, a waste of your time. Without a plan you’ll bounce from event to event and float toward the people you already know. But not this time! This time you’re going to establish real goals for what you’ll get from a specific event.

For example, a small business owner might attend a local meetup of social media types hoping to expand her network with some web-savvy marketers. Instead of saying, “this meetup will give me the chance to make business contacts” she’ll have a specific outcome in mind and won’t waste time on the wrong people.

2. Identify & Research Targets

Now that you’ve established goals for your event experience, it’s time to do some legwork and figure out who will help you reach those goals. Most conferences and meetups have a list of attendees published in a public space, usually online. Smaller events might just have an Eventbrite homepage while big conferences will often maintain a separate list. Many events use hashtags on Twitter so people attending the event can connect beforehand and during the event. Do you see where all this is going?

The idea is to identify as many event attendees as possible and extract a group of people you most want to connect with. Once you have a list of people attending the event, weed your list based on how certain people could possibly help you reach your goals for the event. If you want to connect with web developers, you’ll not have florists or fishing coaches on your list.

Once you’ve identified the people you think are worth pursuing at a glance, it’s time to do some research. This might seem tedious and boring, but it’s needed if you want to really get the most of your event. While most of the attendees will stroll into the event with a devil-may-care attitude, you’ll have a short list of targets whose blogs you’ve read, tweets you’ve followed, and major interests you’ve identified. You have a definite advantage!

3. Use An Event Card

An event card is exactly like an old school dance card. But instead of scheduling dances with pretty people, you’ll be marking off successful connections with your targets. The simplest version is a plain list of names. That’ll work if you have an amazing memory and ability to place lots of new names with faces. But most of us aren’t so gifted.

I prefer to make small cards that include a name, photo, major interests, a thought I had after reading one of my target’s recent blog posts, and a few people also at the event I think they’d enjoy meeting. Putting the time into researching a contact before meeting them has never, ever turned out to be a waste of time for me. It’s an act of faith that has always returned far more than I invested.

If you want to really do things nicely, add your target contact’s image and information to a special contacts list on your smart phone. That way, when you do get contact information from your new friend, you won’t have to enter anything but their number or email address. If they ask you about why you had their information programmed into your phone already, just tell them you’re a big fan and had planned on meeting them. After all, you are and you did! =)

4. Establish Your Presence

There are a few things you should keep in mind as you work to establish your presence as a worthwhile connection to your targets:

  • Whenever you have the chance, show your target that you are somebody worth knowing. If your research revealed that one of your intended contacts has chatted online with another contact, try to be the one to introduce them to each other. (It only takes a moment or two to figure out who your target likes to chat with on a site like Twitter but hasn’t met yet.)
  • As with romantic relationships, dinner is a bigger deal than drinks or a quick chat. If you get the chance to join a prime target for a meal, do it!
  • Try to get contact information for your target that may not be immediately available online. A lot of people have email addresses they give out online or use to sign up for new services. You don’t want that one. You want the one they actually check. Barring a good email address, a friend request via Facebook will usually do just as well. People throw all their personal info there and you’ll have no trouble getting in touch with them!

When in doubt, friendly conversation and a real effort to listen will at least save you from being labeled as obnoxious!

5. Follow Up

It doesn’t matter how much research you do or how well you woo your targets if you fail to follow up with them after the event! A good rule is to make sure you’ve contacted your targets within 3 days of meeting. Calling is probably too much unless you really hit it off and have already agreed to meet up. Otherwise, a brief email saying hello and reminding your target of the interesting conversation you had, etc. should do the trick.

Once your target responds, you’re set to continue your relationship and eventually enjoy the fruits of your networking labors! A bit of planning, some basic research, and the will to follow through are the only things standing between you and a robust network of interesting people!

How could I be such a cold-hearted monster and turn a gathering of wonderful people into a game of numbers and value exchanges? In practice, I don’t always. But just as it’s easier to explain the workings of an automobile engine once it’s been removed from the car, social networking is best explained in unadulterated terms.

Is Your Life Predetermined Or Me Determined?

I’ve never been one to sit on my hands and wait for some cosmically pre-ordained life purpose to miraculously reveal itself via a series of dreams, visions or prophecies. Or for an angel to appear at my window with hand-written instructions from God. Although an angel would be pretty cool.

Nor have I been the type to buy into the widely-held view of destiny and I’ve mostly considered (the concept of) fate to be the refuge of the indecisive, the lazy, the fearful and the deluded. But that’s just my (not-very-popular) view. For many people, the traditional concept of destiny provides a level of comfort and if there’s one thing we fearful, lazy creatures like; it’s comfort.

In some ways, destiny is our (perceived) escape clause: life’s all predetermined anyway, so what’s the point of working hard, taking chances, getting uncomfortable and setting goals?

Destiny Schmestiny

People talk about destiny all the time. Especially when they’re talking about big-picture life stuff. Or when they’re rationalising why something didn’t (or won’t) happen. “Don’t worry Darling; it’s not meant to be”. The term destiny has an almost romantic, mystical, feel-good kind of vibe about it. “That was always going to be her destiny” (as the orchestra comes to life in the background).

It seems that no matter what she did (thoughts, behaviours, reactions, decisions, plans, goals) her life, or part thereof, was predetermined by destiny. It was always going to unfold in a certain way. Despite her; not because of her. Apparently some unseen, cosmic force was firmly behind the steering wheel of her life. She didn’t really have to touch the controls because her life path (destiny) was pre-ordained and non-negotiable.

Am I the only person who considers this thinking to be a load of self-limiting, mumbo-jumbo crap? Am I missing something obvious? Why on earth would anyone buy into this? Oh, that’s right; it requires less effort and courage than the alternative.

Beyond our Control

In my opinion, one of the most destructive notions we embrace is the traditional concept of destiny. Why? Because it teaches us that our life, and what we might do, be, create and achieve in this life, is somehow beyond our control. Some people embrace this kind of thinking because it takes pressure off them to steer their ship, shape their own future, and be responsible for what they produce in their world.

Take a look at what conventional ‘wisdom’ teaches us about destiny:

De-sti-ny (noun):

1) The predetermined, usually inevitable or irresistible, course of events.

2) The inevitable or necessary fate to which a particular person or thing is destined; one’s lot.

3) A predetermined course of events considered as something beyond human power or control.

If the above dictionary definitions are to be accepted and believed then I may as well sit on the couch and let life happen to me, around me and despite me, because apparently, it’s all gonna eventuate in a particular way no matter what. It’s predetermined. Inevitable. We’re all just helpless passengers on destiny’s back.

I wish someone had shared this with me earlier; I wouldn’t have wasted so much time making those tough decisions, taking those chances, facing my fears, dealing with my destructive habits, overcoming those obstacles, going to university, working hard and busting my arse to create my best life.

To think that people actually believe this “preordained, inevitable and beyond human power” crap? Give me a bucket. I’ll create my own destiny, thanks.

How To Start and Run a Mastermind Group

Some people like to cooperate with others to achieve their goals, while others prefer to chase their dreams on their own.  I find that involving mutually committed partners in my pursuits is intensely rewarding – especially mastermind groups.  I’ve strengthened my friendships, made measurable progress towards my goals, and continue to grow thanks to the support I’ve received in my mastermind groups over the years.

In this article I’ll lay out what a mastermind group is, the benefits of having a mastermind group, and concrete strategies and actions you can take to start your own mastermind group today.

What Is A Mastermind Group?

The first place I came across the concept of a mastermind was in Napoleon Hill’s Think and Grow Rich.  In it, Hill describes a mastermind group as:

The coordination of knowledge and effort of two or more people, who work toward a definite purpose, in the spirit of harmony.

In my experience, my mastermind groups have formed around multiple people striving for a common purpose – from goals as small as college admissions and improving fitness, to as large as your entire life.

What Are The Benefits of a Mastermind Group?

  • Mutual support. I like to form groups around a specific activity, but even with differing goals you’ll be able to lean on each other for support.  Many times when my progress has slowed on a specific goal, the members of my mastermind are the only people who really understand what has been going on behind the scenes, and give me support in spite of my failed efforts.
  • Differing perspectives.  Hearing the different views my fellow mastermind participants have allows me to see issues I wouldn’t otherwise become aware of – in my life, and in my approach to my goals.  Whether I agree with their assessment or not, it always gives me a better understanding of how I can better improve my approach.
  • Resources.  Everyone in your group will have access to a different skillset and network of people. I’ve often found that when I ask for help in my mastermind groups, these resources help me make progress in ways I never could by myself.
  • Accountability.  My fellow group members hold me accountable to goals I set.  In addition, just knowing that I have a regularly scheduled meeting internally drives me to make progress – because I don’t want to be the only person reporting back that I haven’t made an effort to move my projects forward.

How Do I Start a Mastermind Group?

Starting a mastermind group is deceptively simple in its steps:

  • Pick a Topic.  This may be as narrow as you like, or as broad as you like (such as your entire life).  If you are new to mastermind groups, I would recommend picking one specific aspect of your life to start out with.  Perhaps fitness, your career, school, or some other broad area that you would like improvement with.
  • Pick your Partners.  I’ll discuss this in detail below.  A mastermind group is only as good as the people in it – pick your partners with care.
  • Agree On Ground Rules. I’ll provide some guidance below, but keep in mind the purpose of setting rules is not to stifle anyone – the purpose of the rules is to ensure everyone benefits from the mastermind group. I like to keep a loose set of rules and count on mutual respect of the individuals to keep everyone in line, but you may choose to have strict ground rules if you like.
  • Meet!

Who Should I Invite Into My Mastermind Group?

Two words:  mutual beneficiaries.  Any member in your mastermind group should not only be able to provide you with sound feedback and advice, but should be able to receive some benefit from your feedback as well. Some qualities I look for in a participant include:

  • Similar Drive and Commitment.  You want everyone in the group to be similarly committed. If one person is striving to compete in a bodybuilding competition, while you’re just trying to cut the sugar out of your diet, you may not be compatible for a mastermind group.
  • Diverse Skill Sets.  For me personally, I am very analytical and approach things from a scientific, engineering perspective.  I enjoy mastermind groups where some people share this perspective, but also gain valuable feedback from people who are perhaps more abstract and in touch with their emotions (as opposed to a “cold” analytical approach).
  • Problem Solvers.  This is my personal preference, I like partners who are active problem solvers.  My purpose in a mastermind group is to get feedback, solutions to my issues and move forward.

I like to limit mastermind groups to between 3 and 5 people.  This keeps meeting short, in depth and on point.  You can experiment with more or less, but I recommend starting with 2 or 3 if this is your first time with a mastermind group.

How Do I Run A Mastermind Group?

  1. Meet Regularly And Precisely. I call this the “nuts and bolts.” Keep to a regularly scheduled time, ensure all members are punctual – and end on time. I typically meet for 60 minutes once a week. You may require more or less time, but ensure that you have adequate time because you want to…
  2. Give each member equal time. We don’t use a timer, but for larger groups that may be necessary.  I keep most of my groups to only three people, and generally we are all aware that we have approximately 20 minutes per person, and try to keep it in that time frame.
  3. Don’t Interrupt. One person at a time, and keep in mind the purpose of the meeting is to give everyone a chance – it’s not always about you. Hold all comments until the person speaking has a chance to speak. We generally do not jump in at all unless someone has a specific question.
  4. Decide if you need an agenda. My mastermind groups typically have a conversation topic (often decided at the meeting prior), but no explicit agenda.  I previously have run groups that had more explicit items on the agenda for accountability and progress reports – try it out and decide what works best for you.
  5. Decide on whether to have a facilitator. In my groups, I start the calls, and act as a very loose facilitator – I point out who is going to go first. That’s it – everyone polices themselves. Perhaps your group will need a facilitator who is more active – keeping people on target for time, and moving you from one items on the agenda to the next.
  6. Capture.  Make sure you capture what happened at each meeting – lessons and triumphs, goals, and items you want to keep each other accountable to.  I like to use Google Documents and Mindmeister.  When I conduct groups online using Skype I use MP3 Skype Recorder (free) to record mp3s of my calls.

Three Question To Kick Start Your Mastermind Group

If you’re ready to start a mastermind group, you may want some very basic structure help you in the beginning.  These three questions never fail to get my mastermind groups off to a great start.  As your group evolves, you’ll come up with your own agenda and questions that you’d like each member to answer – but if you don’t know where to begin, this is a great place to start:

  • What Are You Working On? Nice and broad, and each member can answer with whatever they feel comfortable sharing.
  • What Did You Learn? Very often my groups are focused on similar goals, and lessons learnt by one member benefit all of us.
  • What Do You Need Help With? By having a specific question on the agenda, this helps take pressure of members who want to reach out to the group for help.
